Wedding Event Classical Arrangements

Question: Understand the integral role event design has on the success of an event. Identify a range of techniques an organisation could use when theming an event. Use a variety of methods to design an event catered for a target audience; Apply case studies take inspiration from other events that have been specific to a target audience. Work effectively as individuals and in groups through the development of appropriate key skills. Answer: Introduction The report provides a brief view of event management process with the help of a case scenario. Event management is an effective implementation process of project management practices that helps to turn planning into actions (Veal, Veal and Burton 2014). In order to illustrate the event management process, the researcher has considered the organization The National Wedding Show. It is a well known and well established wedding event management company of United Kingdom that organizes wedding shows with new innovative ideas (nationalweddingshow.co.uk/ 2016). In this particular study, the researcher is appointed as an event manager in the respective organization. A wedding party will be arranged in London. In this event, menu and music will be the center concern. The researcher will make all the arrangements by considering the choices and preferences of the client. In this event management, the researcher aims to provide high satisfaction to the client in order to make the wedding troubl e free and memorable. Purpose of the event Wedding is a dream to some people since it is the start of a new life with new journey and new experience. Therefore, it is the responsibility of the event manager to provide the memorable wedding service (Bertella 2016). Being the event manager, the basic purpose of the researcher is to arrange the event in such a way that both their clients and invited guests will enjoy the whole process. In this event, the wedding party is the first wedding ceremony of the clients. Therefore, the prime objective of the researcher is to make it as the memorable experience. This way, the researcher would able to provide good services and along with that clients first experience will make them to have further services from the company. Apart from this, the researcher will make sure that the client would not have to take any stress of having everything done on time. It has been found that most of the people cannot enjoy their own wedding parties for having too much responsibility to getting the event done properly (Taylor 2012). Moreover, sometimes the clients confront troubles even after arranging their event by an event management company (Daniels and Loveless 2013). As the event manager, the researcher will pay heed on the problems that people generally face in the wedding parties in order to make this particular event trouble free. The researcher has taken all the responsibility of the wedding party to make the client tension free. Ranging from general arrangement to high comfort level for the customers: every detail is managed by the event management company.. Besides, the researcher will form the event theme, venue, and main design plan along with other activity plan in respect of providing satisfaction to bot h the client and the invited guests. Theme of the event In clients perspective, the theme of wedding parties is the centre point to make the party unique. Therefore, it is main responsibility of the researcher to make a unique as well as creative event theme. The researcher has chosen the Vintage Wedding Theme that provides the look of the period of 1940s (Meng and Zheng 2015). The client prefers traditional looks and ways and this is the reason that the researcher has chosen this particular theme. The vintage wedding theme not only provides the classical look, but also provides visual satisfaction to the guests who like modern decorations. Special art deco and Gatsby style luxury are some the themes that always suit the occasion. (Meng and Zheng 2015). Being the event manager, the researcher expects that this theme will help them to make their wedding party unique. As per the particular theme, the long sleeved gown along with floral crowns will give a gorgeous look to the bride. The popular Juliet head dress of 1920s will give the complete bridal outlook of vintage theme. Cascading greenery will add the vintage vibe. Besides, a piece of heirloom jewelry will be added in the bridal bouquet. The ceremony stage will be decorated with Vintage lanterns in order to provide a classic look. At the entrance, old-fashioned classic pillars holding white roses will be placed. Leather bound books will be placed on each table along with classic literary framed quote. As per this theme, the cake will be decorated with pearls and ruffles to add a classic look. Apart from this, all other arrangements are made by considering the classic decorations. Venue of the event Venue selection is the major concern in the wedding event planning (Daniels and Loveless 2013). Birtsmorton Court Ltd is chosen as the weeding venue. Its rich tapestry of fine fabrics, beautiful garden, and antiques attract the researcher to select it as the wedding venue (birtsmortoncourt.com/ 2016). The large space will help the researcher to make all the wedding arrangements in a proper and attractive way. Another reason behind choosing this event venue is that it is surrounded greenery. The client of the event wants a place where traditional view will be suited. This particular place will help the researcher to provide classical wedding view. The wedding party will be arranged on 23rd September of 2016. Event Design Plan The wedding design will be planned in such a way that the service can promptly and efficiently be served to the client (Taylor 2012). Before, the event design plan, the researcher will make sure that the company has excellent working relationship with the vendors. Popular musicians are invited to enlighten the event with their music. In this wedding event management, the researcher has hired two popular music bands of United Kingdom. Harmony Duo and Status Cymbal are the music bands. For hair and other bridal makeup, the researcher has hired the beauticians of the well known company of London. The Wedding Hair Company is paid to provide perfect bridal look. Besides, other family members will also get service from that company. For designer bridal gown and other wedding apparels, the researcher will take service from Angelica Bridal, one of the best bridal shops of London (angelicabridal.co.uk/ 2016). In the wedding design plan, special Flower arrangement is included. In the flower arrangements the bouquet for the bride will be made by only white and pink flowers, as these are the favorite colors of the bride. Beside, a luxury table center will be made with light pink and purple roses. A pink flower wall and white floral wedding arch will be created. The Groom and Bride Exchange Stage will be arranged with special arrangements. The ceremony stage will be surrounded by white vintage lanterns. The sitting arrangements for the special guests will be arranged separately. Besides, the bridal table will be decorated in a different way in order to highlight it among the other table arrangements. Lastly, the photography arrangements will achieve special attention in order to capture the special moments. Menu of the event The wedding menu is listed in the categories of starters, main menu for vegetarian, main menu for non vegetarian, vegan menu, desserts, and some additional menu. The menu of the wedding party is listed in the below table: Category Menu Starters Cherry, Ewes Cheese, Duck Terrine, Conflict Duck Leg, Butter Bean, Truffle Puree, Pickled Cucumber, Saffron Consomme, Heirloom Tomatoes, Toasted Pine Nuts, Rye Bread and Mint Oil. Main menu for vegetarian Squash Puree, Peas, Black Truffle, Broad Beans, Cepe Puree, Tagine Filled Pepper, and Aubergine Puree. Main menu for non vegetarian Norfolk Black Chicken, Charlotte Potatoes, Confit Ox Cheek, Purple Broccoli, Saffron and Cauliflower Puree, Sweet Corn Puree, Roast Cod with Baby Gem Lettuce, Roast Salsify, Burnt Shallots, Toasted Hazelnuts, and Lilliput Capers. Vegan menu Asparagus, Peas and Truffle Oil, Courgette Ribbons, Basil Sorbet, Parsley Vierge, Blueberry and Elderflower Jelly with Cucumber. Desserts Vanilla Milk Jelly, Coffee Ice Cream, Chocolate Sorbet, Greek Yoghurt, Raspberries, Passion fruit Tart, Coconut and White Chocolate Fondant with Alphonso Mango. Additional menu Sliced Exotic fruit, Artisan Cheeses with Assorted Crispbeard, Grapes, and Chutney. Being the event manager, the researcher has assured the client that popular music bands will be hired in order to make a pleasant environment and memorable wedding ceremony. The client of this particular wedding event prefers classical music to the latest ones. Hence, the researcher has arranged the music theme with the popular classical musician band of United Kingdom, Harmony Duo. Only harp and flute music will be delivered in the wedding event. Apart from this, several number of music is arranged in several rituals. The researcher makes sure that there will be several lists for all the big moments. The music list includes wedding morning playlist, ceremony processional, and ceremony recessional. The researcher has decided that other wedding rituals are designed with other music band. For cocktail hour, reception entrance, cake-cutting and dance music, the researcher has hired the music band Status Cymbal. In order to make little difference than the above mentioned music category, here the researcher has arranged string quartet where two violin players, a cellist, and a viola will be there to entertain the client and their guests (Woolf 2015). In these rituals, only classical music will be delivered. Further, in the dance music the researcher has categorized the theme in more than one dance form. There will certain music for father-daughter dance, and for mother-son dance. At last, after the wedding party, special dance music will entertain the wedding couple. Other activities Besides all the rituals, some other activities are considered by the researcher in order to add some fun activities. At the beginning of the party, a dance team of small girls of age 10-12 years wearing white dresses will entertain people with a dance performance. The dance performance will take place at the garden space of the wedding venue. A game plan for the kids who present in the party will be arranged in a separate room. The adult age groups can participate in other sophisticated wedding games. A couple-dance party will be arranged by selecting cards from bowls. The couple dance party will be arranged at the ground of the venue. Event Closure Plan At the end of the event, a dance theme will be organized with little boys aged of 10-12 years. Classical songs will be considered in the dance performance. After that, an emotional music will be played by the band Harmony Duo. The researcher included the emotional song as per the clients willingness. At the exit time, the kids will be served flower and chocolates. Budget After planning the entire arrangements, the researcher has made a wedding budget paper in order to help the client to make sense about the total wedding cost. The budget will help the researcher to change the plan if required. The total budget is calculated as 80,000 (approx) (Refer to Appendix 1). Besides, the client needs enough time to arrange all wedding requirements. Thus, the researcher is asked to present the wedding plan along the wedding budget before starting the arrangements. The budget plan includes all the arrangements along with their costs that would help the client to understand where he can expand or restrict the budget. Conclusion The study concludes that the client of the wedding party prefers classical arrangements and based on that the wedding event is planned. As the event manager, the researcher pays prime attention to the menu and music. Vintage wedding theme is the wedding theme that will take place in Birtsmorton Court Ltd. Further, in the menu, wide variety of dishes is included. Apart from the main arrangements, the researcher has decided to arrange some entertain activities to entertain the guests. Besides, special event closure plan also made by the researcher to make a proper event ending. The budget plan would help the researcher to proceed as per the wedding plan. The entire wedding plan is made by considering the choices and preferences of the client.
